Let’s look at how to track email attachments for stand-alone emails, email templates, and campaigns.
Attach files you want to track directly from your compose window. You can track PDFs, PPTs, DOCX, CSV, MP4 files, and more.
For Gmail: To track attachments in your emails, click on the blue paperclip icon at the bottom of the compose window.
Once you choose the file you’d like to track, insert it into the message and click send. The tracked attachment will appear as a stylized link in your message.

For Outlook: To track attachments in your O365 emails, open the Yesware Sidebar in your compose window and click the “Insert Tracked Attachment” tab, then select your file to insert.
2. How to Send Tracked Attachments in Email Templates
To track attachments in your email templates, when creating your templates select “Insert Attachment” from the bottom of the Templates editor and select the file of your choice.
For both Gmail and Outlook:
Create a library of email templates right in your inbox then re-use and personalize the messages whenever you need them.
3. How to Send Tracked Attachments in Email Campaigns
To add an attachment to a Campaign, click the “Attachment” button at the bottom of the compose area in Campaigns.
For both Gmail and Outlook:
Get Notified When Recipients View Attachments
Once the recipient opens and views a presentation, you will be notified through the Yesware Activity Feed in your inbox.
Here, you’ll see a full engagement history of recipients’ email opens, link clicks, and attachment views.
If you’re sending a PDF or PPT, you can see detailed page-by-page breakdowns to help you understand what your prospects are most interested in and what pieces are resonating.
When you select your file, you’ll be presented with two checkboxes:
Allow recipient to download
Ask the recipient to enter their name to access the presentation
Once you select one, Yesware will then convert your attachment to a presentation and insert it into the body of your email.
Pro tip: By going with option #2, you’ll be able to see the name of each individual who has accessed the attachment and for how long, this information is highly valuable for understanding the interest levels of your prospects.
This information will be shown in your Presentation Report.
The Presentation Report shows:
How many people accessed the presentation
The total number of views it received
The average time spent viewing
Engagement per page and per user
How long it’s been since each person viewed and their completion rate
For quick access:
You can also find the presentation report in the top right corner of the original email by clicking on the eyeball icon.
The presentation report will also be synced to Salesforce if you are on the Enterprise plan with Salesforce CRM Sync enabled.
Focus your follow-up emails on your most engaged prospects and tailor your messaging based on whether they read your content. Send recipients further content that’ll resonate based on what pages/pieces of content they found most interesting.
